How to Donate to the North-West University Libraries

Guidelines

The library accepts gifts of materials or money for the purchase of materials with the understanding that the selection criteria described in the Collection Development Guidelines will determine whether an item is added to the collection. Monetary gifts are accepted for purchasing materials in a subject or format, but not a specific title. Gifts received by the library become the library's property and will be used or disposed of in accordance with established policies and guidelines.

Self-Publications

Authors can donate a copy to be displayed to see if it generates interest. If the contents are academic, the faculty must decide whether to purchase copies from the faculty book budget. Faculty librarians can also give input on which academic department to recommend and/or purchase from the faculty librarian's budget.

Donations Procedure

  • Upon receipt of the donation, a donor must sign the declaration form.
  • The completed declaration form and the donated item/s will be referred to the acquisition component for further processing.
  • The item/s will be evaluated based on the provisions in 6.1 and 7.1 of the Collection Development Guidelines.
  • Should the item/s pass this evaluation process, they will be referred to the cataloguing component for further processing. If items are found not to be collection-worthy, they will be redonated to the community library, students, or recycled. Items that pass the test will be catalogued and added to the library collection.
  • The library will not accept material that is in poor condition or likely to need expensive repair, duplicates, or items that are defaced or annotated.
  • Donations to the Library will be acknowledged by a letter from the Acquisitions Senior Librarian or IR Manager.
